Terms
The following criteria are our terms and conditions of hire and outline your responsibilites as the supervising hirer when hiring our facilities.
Confirmation of Hire:
To confirm a booking (or bookings), a casual hirer must:
Accept the Terms and Conditions of Hire; and
Make full payment of the relevant venue hire price at the time of booking.
Bookings:
The hirer must truthfully and accurately state the type of activity for which the Māui facility is being hired.
The hire period must include time for set up and pack down. It is the hirer's responsibility to ensure that the Māui facility, including surrounding grounds, is left clean and tidy for the next hirer.
The premises must be left in the same condition as it was initially entered. Any damages incurred will be charged to the production.
Māui Virtual Production Ltd reserves the right to have a site manager, staff, or representatives present at the event at any time.
The hirer must adhere to the confirmed hire period. Failure to do so may result in additional charges and cancellations of future bookings.
Cancellation rules apply to all amended bookings resulting in a different time period, except for extensions of existing booking time frames.
The hirer must act as the building warden, verifying the positions of all exit points and safety equipment, and confirming that doorways/exit points and stairways are clear and unobstructed.
The hirer must make a first aid kit available to service their own group's needs.
The hirer must act as a fire warden during the hire period and control and supervise facility emergency evacuation procedures.
The hirer must be present during the entire duration of the hire.
All fees quoted at the time of booking are GST exclusive.
At the end of the hire, unless the next hirer is present for their booking, the Māui facility must be locked up, made secure, lighting turned off, and alarms set as required before leaving the premises. The security tag must be returned to the site manager, failure to do so may result in an extra charge.
Booking Times:
Your booking time is when you will be given access to the site. Please do not arrive or enter our lot any earlier than 15 minutes before your booking time. For example, if your booking starts at 9:00am, please do not arrive earlier than 8:45am, as our site representative will arrive at the time of your booking. Please be aware that you will not be able to start setting up and shooting earlier than your allocated time. If you require more time, please book it in advance.
General Rules:
We are not responsible for any lost, stolen, or damaged equipment during your booking.
Our location is alcohol, drug, vape, and smoke-free. If your production requires smoking, this rule can be exempted for an additional fee of $150.
You must leave the space as you found it by taking out all trash and returning all props to their original positions.
Shooting outside of our warehouse, on the street or lot, is strictly prohibited. If you need street shots, you'll need to find another location. You are only renting the inside of our warehouse.
Haze and smoke machines are allowed.
Footwear must be worn inside the location for safety.
Pyro of any kind is not allowed unless you have a permit or a fire warden present.
No liquid or damaging substances to be used near LED technology unless approved by the site manager in pre-production.
We reserve the right to take and share behind the scenes photos of the shoot for the promotion of our location, unless under NDA or confidentiality agreement.
All ages are allowed in the space.
Production insurance is not required.
Furniture and decorations may be moved if required.
LED walls may only be moved with the site manager's approval.
Anything related to LED wall use must be operated in the presence of a Māui VP Technician.
Additional Charges:
Māui Virtual Production Ltd reserves the right to invoice the hirer for any additional charges resulting from the hirer's use. In addition to the venue hire price paid at the time of booking, the hirer may also be charged for:
Failure to comply with any rules/terms will result in an instant non-negotiable $250 fee added to the final invoice.
Unsatisfactory standard of cleaning throughout the facility will result in a non-negotiable $150 cleaning fee.
Any damage or loss to the Māui facility, including but not limited to technology, equipment, keys, facility locks, or furniture caused during the hire period or through any breach of the rules.
Failure to conclude the facility hire by the agreed time.
Failure to remove event rubbish from the Māui facility.
Any unreturned access card(s) and/or key(s).
Any Emergency Services call-out or fire alarm activation attendance for a non-emergency situation.
A security fee may be applied to certain bookings at the discretion of Māui Virtual Production Ltd.
Any costs, losses, or expenses that Māui Virtual Production Ltd incurs due to a breach of the Terms and Conditions outlined in this agreement, including but not limited to extra cleaning, rubbish removal, cancellation, or refunds for the next hire due to actions resulting from failure to meet your hire’s Terms and Conditions.
Cancellation of Hire:
The hirer agrees that in the event of cancellations, they will contact the site manager at Māui Virtual Production Ltd.
Bookings can be cancelled without charge up to 2 days prior to the event. If cancellation occurs within 48 hours, we reserve the right to charge a $250 cancellation fee.
Māui Virtual Production Ltd reserves the right to cancel the booking if any unforeseen circumstances arise after the booking has been confirmed.
Māui Virtual Production Ltd reserves the right to cancel any bookings at its sole discretion without liability for any loss or additional costs incurred by the hirer or payment of compensation to any party whatsoever. Fees or charges paid prior to the cancellation of the booking will be refunded or credited to the Hirer.
Should a request for a booking be made at a time and/or venue that conflicts with another booking, Māui Virtual Production Ltd reserves the right to determine which hirer shall be given use of the venue at its sole discretion.
